Job Purpose: The project co-ordinator is responsible for all project scoping, planning, and execution in line with agreed Service Level Agreements with clients.  All activities are delivered utilising a strong project management methodology to ensure that the required deliverables are achieved within the agreed periods and in line with the Standard Operating Procedures of the business.
Responsibilities Knowledge, Skills and Experience
Project Co-ordination of training programmes:

 

Project Scoping:

  • Ensuring that you have met with the sales team and understand the required deliverables and time-frames of the agreed project
  • Develop the project plan accordingly and get sign-off from the relevant GMs or other Client Spokesperson

 

Project Initiation

  • Ensuring that learnership agreements are compliant with SETA requirements
  • Prepare all documentation in accordance with SOP requirements and reporting to the QA
  • Ensuring that learners are loaded on LMS as well the relevant SETA database
  • Ensuring that learnership start-up requirements are adhered to in terms of checklist
  • Confirm facilitators in accordance with project plan
  • Confirm venues and/or refreshments in accordance with project plan
  • Ensure that the material is ordered in accordance with the project plan and delivered to the appropriate venue
  • Create a project dashboard per project

 

Project Monitoring

  • Ensuring that learners attend all classes
  • Update the LMS system with attendance and progress on POE submissions
  • Ensure that coach reports and learner evaluations are received per workshop
  • Prepare and provide client reporting on progress of the programme, as per SLA
  • Highlight areas of risk to managers to discuss with client
  • Ensure facilitator invoices are received and checked in accordance with the facilitator contract and project plan
  • Ensure that coach reports are received
  • Update project dashboard on a continuous basis

 

Project Close-out

  • Schedule interval moderation and prepare files for internal moderation
  • Action feedback on internal moderation
  • Ensure adherence to SOP requirements
  • Uploading learner results/credits onto LMS and Seta database
  • Apply for PMI Certificates.
  • Schedule external moderation
  • Prepare files for external moderation and external verifier where applicable.
  • Action feedback from external moderation

Close-off SOP

  • Follow-up with Seta for Seta Certificates
  • Complete all updates on Project Dashboard
  • Stakeholder management: Liaison with DM, client, learners, Lead Facilitator, assessors and internal moderators
  • Quality Management ensuring all processes managed in line with our internal SOP process.
  • Provide information with regards to the billing (supporting documentation or invoice purposes

Qualification:

  • Matric
  • Post Matric is an advantage
  • Experience in a training environment preferable
  • Exposure to Project Management environment is essential
  • Full learnership delivery experience

 

 

  • Languages required: English Proficiency
